Privacy Policy
This policy explains what personal information Orbitrine collects, how we use it, who we share it with and the choices you have. It applies to orbitrine.com, the client portal at app.orbitrine.com, the onboarding form, and the Showrooms we host for our clients.
Who is responsible
Orbitrine is the registered fictitious name of the owner, a sole proprietor in Polk County, Florida. Contact: service@orbitrine.com · — · —.
What we collect
Information you give us
- Contact form: name, email, business or artist name, social profile or website, what you show, approximate number of pieces, your message and preferred language.
- Onboarding form (clients): name, email, phone, the name and tagline for your Showroom, style preferences, links to your photos, item details and prices, domain preferences, social links and notes.
- Your Content: photos, texts, logos and item data you send us to build your Showroom.
- Communications: emails and messages you exchange with us or with people who work with us.
Payment information. Payments are processed by Stripe. Stripe gives us your name, email, billing country and postal code, the type and last four digits of your card, the amounts paid and the plan you chose. We never receive or store your full card number.
Sign-in information. When you sign in to the client portal, Cloudflare Access sends a one-time code to your email address and tells us which email signed in. We do not use passwords.
Information collected automatically
- Security and server logs: IP address, browser type, pages requested and timestamps, processed by Cloudflare to deliver and protect the site.
- Preview access logs: when you open a private preview, we record your email, the date and time, and a one-way scrambled version of your IP address, to protect previews from misuse.
- Analytics: we use Cloudflare Web Analytics, which counts visits in aggregate without cookies and without building a profile of you.
- Bot protection: our forms use Cloudflare Turnstile, which checks signals from your browser to tell people from bots.
How we use it
- To answer your questions and send you previews you ask for.
- To build, host, update and support your Showroom.
- To process payments, send receipts and manage your plan.
- To keep the site, portal and previews secure, and to prevent fraud and abuse.
- To improve our services.
- To send you occasional news about Orbitrine, only if you are a client or have asked us to. You can opt out at any time with the link in the email or by writing to us.
- To meet legal, tax and accounting obligations.
Who we share it with
We do not sell your personal information, and we do not share it for targeted advertising. We share it only with:
- Service providers that work on our behalf: Cloudflare (hosting, security, sign-in, email routing and analytics), Stripe (payments and billing), and our email provider. They may use it only to provide their services to us.
- People who work with us, such as sales representatives or contractors, only as needed for their work and under confidentiality obligations.
- Authorities or others, when the law requires it or to protect rights, safety and property.
- A successor, if our business is transferred, for example to a company we form to run Orbitrine. We will tell you if that happens.
Cookies
We do not use advertising or tracking cookies. Some strictly necessary cookies may be set: Cloudflare security cookies that protect the site, the Cloudflare Access cookie that keeps you signed in to the client portal, Turnstile on our forms, and Stripe's cookies on its checkout pages.
Do Not Track and similar signals
Because we do not track visitors across other websites, we do not change our behavior in response to Do Not Track signals. We do not sell or share personal information, so there is nothing to opt out of through Global Privacy Control, but we treat it as an opt-out request if we ever change that.
How long we keep it
- Contact requests from people who do not become clients: up to 24 months after our last exchange.
- Client records, payment records and invoices: for as long as you are a client and then 7 years, for tax and accounting purposes.
- Your Content: while your plan is active; after it ends we delete it within 90 days unless you ask us to return it or the law requires us to keep it.
- Photos sent for a free preview that does not lead to a purchase: deleted within 30 days of your request, or after 60 days otherwise.
- Preview access logs: 12 months.
Security
We use HTTPS everywhere, email-code sign-in for the client portal, access limited to the people who need it, and two-step verification on our accounts. No method of transmission or storage is perfectly secure, but we work to protect your information and will notify you as required by law if a breach affects you.
Your choices and rights
You can ask us to access, correct or delete your personal information, or to stop sending you marketing emails, by writing to service@orbitrine.com. We may need to verify your identity, and we may keep information we are required to keep by law. Depending on where you live, state law may give you additional rights; we honor requests from all US residents and respond within 45 days.
Children
Our services are for adults. They are not directed to children under 13, and we do not knowingly collect their personal information. If you believe a child has sent us information, contact us and we will delete it.
Where we operate
Orbitrine operates in the United States, and your information is processed in the United States and wherever our service providers operate.
Changes to this policy
If we make material changes, we will update the date at the top and tell clients by email or in the client portal.
